Privacy Policy

This policy explains how TurnReady LLC collects, uses, and protects your information.

1. Introduction

TurnReady LLC ("TurnReady," "we," "us," or "our") is committed to protecting the privacy of the cleaning business owners, field staff members, and other individuals whose information we process in connection with the TurnReady platform (the "Service"). This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights regarding that information.

This Policy applies to all users of the Service, including cleaning business owners ("Customers"), field staff users (cleaners, inspectors, and linen staff), and visitors to turnreadyapp.com.

By using the Service or providing your information to us, you agree to the collection and use of information as described in this Privacy Policy.

2. Information We Collect

2.1 Information You Provide Directly

When you register for or use the Service, we collect information you provide, including:

Account information: name, email address, phone number, business name, and password.
Business information: cleaning company name, service area, number of staff, and subscription details.
Property information: property names, addresses, room configurations, and operational notes.
Access information: door codes, lockbox codes, gate codes, parking instructions, and Wi-Fi credentials entered into the Service by Customers. This information is treated as sensitive and is encrypted at rest.
Personnel information: names, phone numbers, roles, and language preferences of field staff members added by Customers.
Job records: job assignments, completion times, checklist data, and issue reports.
Photos and videos: images submitted through the field team checklist and issue reporting features.
Communications: messages sent through the in-app team messaging feature.
Payment information: billing details processed by our payment processor, Stripe. TurnReady does not store full payment card numbers.

2.2 Information Collected Automatically

When you use the Service, we automatically collect:

Usage data: pages visited, features used, actions taken, and time spent in the Service.
Device information: device type, operating system, browser type, and screen resolution.
Location data: GPS coordinates collected when a field staff member checks in to or out of a job, if location permissions are granted on their device.
Log data: IP addresses, access times, error logs, and referring URLs.
Cookies and similar technologies: session cookies used to maintain login state. We do not use tracking cookies for advertising purposes.

2.3 Information from Third Parties

We may receive information from third-party services integrated with TurnReady, including:

Property Management System (PMS) providers: reservation and booking data received via webhook when Customers connect their PM clients' PMS accounts.
Twilio: delivery status information for SMS messages sent through the Service.

3. How We Use Your Information

We use the information we collect to:

Create and manage your account and provide the Service.
Process job scheduling, assignments, and notifications.
Send SMS messages to field staff and property manager contacts on behalf of Customers.
Generate completion reports and deliver them to property manager clients.
Process payments and manage billing.
Provide customer support and respond to inquiries.
Improve and develop the Service based on usage patterns and feedback.
Send service-related communications, including account notifications, billing statements, and product updates.
Detect and prevent fraud, abuse, and security incidents.
Comply with applicable legal obligations.

We do not use your information for advertising purposes and do not sell your personal information to third parties.

4. How We Share Your Information

4.1 Service Providers (Sub-Processors)

We share information with trusted third-party service providers who process data on our behalf. These providers are contractually required to protect your information and use it only for the purposes we specify:

Supabase: database hosting, authentication, file storage, and real-time services.
Vercel: application hosting and deployment infrastructure.
Twilio: SMS messaging services for schedule notifications and PM check-ins.
Stripe: payment processing and subscription management.
Resend: transactional email delivery for completion reports and account notifications.
OneSignal: push notification delivery to field team mobile devices.
Anthropic (Claude API): AI-powered features including SMS reply parsing and the property assistant chatbot. Data submitted to AI features is processed per Anthropic's privacy terms.
Google: Google Routes API for real-time drive time calculations used in the rescheduling engine.

4.2 Within Your Organization

Information within your TurnReady account is shared with your Authorized Users according to their assigned role. Cleaning business owners have full visibility into all account data. Field staff members can only view job information assigned to them and cannot view other staff members' schedules, earnings, or performance data.

4.3 Business Transfers

If TurnReady is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will provide notice before your information is transferred and becomes subject to a different privacy policy.

4.4 Legal Requirements

We may disclose your information if required to do so by law, subpoena, or other legal process, or if we believe in good faith that disclosure is necessary to: (a) comply with applicable law; (b) protect the rights, property, or safety of TurnReady, our users, or the public; or (c) detect, prevent, or address fraud or security issues.

4.5 With Your Consent

We may share your information with third parties when you have given us explicit consent to do so.

5. Sensitive Information — Property Access Codes

TurnReady stores property access codes, door codes, lockbox combinations, gate codes, and similar security information on behalf of Customers. We treat this information with heightened security measures, including:

Encryption at rest using AES-256 encryption in Supabase.
Encryption in transit using TLS 1.2 or higher for all data transmissions.
Access controls limiting visibility to the cleaning business owner and field staff assigned to that property.
No sharing of access code information with any third party except as necessary to provide the Service.

Customers are responsible for ensuring that property access codes stored in TurnReady are changed or revoked as necessary when staff members are removed from their account.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. Specifically:

Account and profile information: retained for the duration of your subscription plus 30 days after termination.
Job records and completion reports: retained for 24 months from the date of the job, then deleted or anonymized.
Photos and videos: retained for 90 days from the date of submission, then deleted. Thumbnail references may be retained longer.
Payment records: retained for 7 years as required by applicable financial regulations.
SMS logs: delivery status records retained for 90 days.
Location data: GPS check-in records retained for 12 months.

You may request deletion of your account and associated data at any time by contacting privacy@turnreadyapp.com. We will process deletion requests within 30 days.

7. Your Rights

Depending on your location and applicable law, you may have the following rights regarding your personal information:

Access: request a copy of the personal information we hold about you.
Correction: request correction of inaccurate or incomplete information.
Deletion: request deletion of your personal information, subject to certain exceptions.
Portability: request a machine-readable copy of your personal information.
Objection: object to certain processing of your information, including processing for direct marketing.
Restriction: request that we restrict processing of your information in certain circumstances.

To exercise any of these rights, contact us at privacy@turnreadyapp.com. We will respond to verified requests within 30 days. We may need to verify your identity before processing a request.

8. SMS Communications

TurnReady sends SMS messages on behalf of Customers to their field staff and property manager contacts. These messages include job schedule notifications, schedule change alerts, onboarding links, and property manager checkout confirmation requests.

All SMS messages include an opt-out mechanism ("Reply STOP to opt out").
Recipients who reply STOP will be removed from future messages from TurnReady's system.
Standard message and data rates may apply based on the recipient's mobile carrier.
Message frequency varies based on job schedules and operational events.
We do not share or sell the mobile phone numbers or SMS opt-in information of message recipients with third parties or affiliates for their own marketing purposes. Phone numbers are used solely to deliver the operational messages described above and to support message delivery through our messaging provider (Twilio).

9. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18 without parental consent, we will take steps to delete that information promptly.

10. Security

We implement commercially reasonable administrative, technical, and physical safeguards to protect your information from unauthorized access, use, disclosure, alteration, or destruction. These measures include encrypted data storage, secure HTTPS connections, access controls, and regular security reviews.

However, no security system is impenetrable. We cannot guarantee the absolute security of your information. In the event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify affected users and applicable authorities as required by law.

11. International Data Transfers

TurnReady is based in the United States. If you are accessing the Service from outside the United States, your information may be transferred to and processed in the United States, where data protection laws may differ from those in your country. By using the Service, you consent to such transfer and processing.

If you are located in the European Economic Area, United Kingdom, or Switzerland, we process your personal data on the basis of our legitimate interests in providing the Service, performance of our contract with you, and compliance with legal obligations. You may have additional rights under the General Data Protection Regulation (GDPR) or applicable local law.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the Service, or applicable law. We will post the updated Policy on this page with a revised effective date. For material changes, we will provide additional notice, such as an email to the address associated with your account. Your continued use of the Service after the effective date of the updated Policy constitutes your acceptance of the changes.
